Document Imaging

 

Many firms today use evidence review tools, such as Concordance and Summation, to store and manage paper-based documents. These tools use image files, such as PDF and TIFF, and users view the files electronically, saving time and money over paper copies. Source One utilizes high-speed scanners to convert paper documents to digital images that can then be stored on the software platforms and other media.

OCR (Optical Character Recognition)

 

OCR conversion is the process by which text from an image (a picture of a document) can be extracted, providing searchable ASCII text. The OCR text of the complete document can then be searched for key words or phrases. OCR can be an effective supplement to an objectively coded database or as an alternative to key word or names mentioned coding. We emphasize to our clients however, that OCR conversion is not 100% accurate and the conversion results are greatly determined by the type of documents and clarity of the characters on the original document. For instance, a 1st generation pleading printed on a laser printer will yield far greater OCR accuracy than a 4th generation photocopy of a multi-part form.

Coding

 

We will assist your team in determining how to create the most effective database for your particular circumstances. Whether your case revolves around thousands of patients’ medical records or thousands of shareholders in a public company, your data retrieval needs will be met. We will build a flexible “foundation” database consisting of standard objective information from your documents such as Date, Document Type, Title, Author, Recipient, Copyee, etc. Additional data captured from words mentioned in the text of the documents, such as key words, key phrases or proper names mentioned or product and chemical names may also be included. Then, as your litigation continues, your team can build on this foundational database to add subjective information such as Issues, Summary and Attorney Notes.

Audio-Video Conversion

 

Source One provides the service of converting audiotape or videotape to digital format. Video depositions can be digitized and transferred to CDROM. This technology allows our clients to segment (extract) desired portions of video footage to be presented during trial without the complexity of the start and stop of standard VHS. Furthermore, we are able to synchronize the court reporter’s transcript with the video allowing both to be presented simultaneously. This allows the litigation team to search for a word in a deposition video and for the video to cue up instantly on that word! Spending countless hours with the remote control trying to find “that crucial part of the deposition” is now a thing of the past. Editing and segmenting of selected video footage is also provided.

Bates Numbering and Endorsements

 

Having Bates labels applied with speed and accuracy is a critical component of any document production. When we apply the labels to your documents, you can rest assured that they will be applied exactly as you instructed. As with all our services, the Quality Control Procedures we implement will assure that each page is checked for accuracy.

Most litigation teams also realize the advantages to Bates Numbering their Digital Images. Source One provides this Digital Bates numbering service, called endorsing. Because a computer is applying the consecutive numbers to the images, there will be no duplicates, overlaps or gaps.

Blowbacks

 

Source One utilizes high-speed digital printers to print images to hard copy. Whether your electronic documents exist in TIFF, PDF, Text or other formats, Source One will convert them to paper for you. Hard copies may be used for deposition witness kits, for experts or producing to opposing counsel. Selected documents or the entire contents of a CD can be printed. Images can be chronologically sorted and printed with new numbering sequences and additional information in the footer, such as Confidential or Privilege statements.
